Setting up private guests

1.  Click Guests.

2.  Click Checkin/Checkout

3.  From the toolbar click Guest.

4.  Check the Private Guests checkbox to sort your guest database by private guests.

5.  From the toolbar, click New.

6.  Complete all contact information, including the Guest Type from the dropdown box for this guest.

7.  When you have finished, click Save.

8.  To add further information for this guest including their payment, breakfast, newspaper, and room options, highlight the guest in the Guest List and click Next.  The details for this guest will be displayed.  Click Next.

9.  Complete all guest preferences and extra information contact and click Save.  Click Next.

 

10. The fields on this window are the default fields shipped with your system.  If you have reconfigured these fields when you set up your Guest Wizard, these are the fields you will see on this window (see Configuring the Guest Wizard).  Complete these fields for the company contact.

In the Guest Preferences/Notes fields you can add any guest preferences or notes about the guest.  You can use this field in a number of ways :

      Check the Warning checkbox to flag blacklisted guests.  Enter the reason for their blacklisting in the text box..  The guest’s name will be displayed in red on your Guest List and the warning will pop up at check-in and check-out.

      Check the Front Office checkbox if you want to enter information about the guest (such as payment information or if they need extra items in their room such as a cot) which is useful for your front office staff.  Enter the appropriate information in the text box.  This information will pop up at check in.

      Check the Housekeeping checkbox if you want to flag specific guest information (such as extra towels, soap, milk etc) on Housekeeping Reports for your housekeeping staff.  Enter the appropriate information in the text box.

11. Click Next.

12. Click Finish.
