At this option you can set in advance exactly how you want your system to operate by default by selecting the system settings you want operational or de-activated in your system.
3. Click the System Settings tab.
5. If calls are not being allocated to accounts check to make sure the Processing Calls option is set to Unlocked. If it is locked click Unlock.
6. In the Default Number of Accounts field set the maximum number of accounts which can be assigned to a room. The maximum number of accounts which can be assigned to a room is 10.
7. Each reservation on the Reservation Pad has its own “hint” which includes a short synopsis of the reservation. A reservation hint can be displayed on screen for as long as you choose. In the Hide Reservation Pad Hint After field set the number of seconds the Reservation Pad hints will remain displayed on screen
8. In the View Guest Wizard By field select the way you want entries in the Guest Wizard displayed by default. Guest Wizard entries can be displayed by default by Company or by All Guests or by Private Guests.
9. In the Wizard Default Booking Type field select the booking option you want the Check In Wizard set to by default. This option can be Check In, Confirmation or Hold/Enquiry.
10. If you select the This Week or Last Week options when you run reports you can set here which day of the week these reports will start at. In the Start of Week field, select the day of the week you want data for your reports to start at if you select either of these report options.
11. In the Accommodation Post Time field select the time at which accommodation charges will be automatically added to guest accounts. The default time is 1300 hours (1 p.m.) but you can change it to whatever time you choose.
12. In the Report Start Time field select the time you want information in your reports to begin each day. This date is important if you are processing EFTPOS transactions where transactions for one day may start today and end tomorrow.
13. In the Default Arrive Time field select the time you want as your default guest check in time each day. This time can be overridden when the guest checks in so that you can enter the exact time they arrive.
14. In the Default Departure Time field select the time you want as your default guest check out time each day. This time will be automatically overridden by the system when you physically check the guest out and print a check out statement.
15. Check the Prices Include Tax checkbox if you want all guest transactions to include tax on the checkout statement.
16. Check the Allow Delayed Check In checkbox if you want the ability to check in guests on a date in the past.
17. To view the Reservation Pad in Classic mode so that you can see one reservation per day (in the same way as reservations are displayed on a manual reservation pad), check the Reservation Pad Classic View checkbox. PLEASE NOTE : Classic View is available only on the 15-31 days zoom options (see Configuring the Reservation Pad).
18. Check the Calculate Multiple Occupancy checkbox if you hire your rooms/units multiple times in a day and you want the system to calculate each of these checkins as a separate occupancy.
19. Check the Allow Check Out Private Guests with Outstanding Balance checkbox if you want the ability to charge back private guests. If you leave this checkbox unchecked private guests cannot be checked out if they do not pay on check out.
20. Check the Enable Universal Drag & Drop Bookings on Reservation Pad checkbox if you want the ability to move reservations horizontally and vertically on the reservations pad using drag and drop. If you leave this box unchecked you will only be able to drag and drop reservations vertically on the reservation pad.
21. Check the Check Accommodation and Call Charges at Start Up checkbox to ensure that all accommodation charges and call charges are posted to current guest accounts when Callista Hospitality is started each day.
22. Check the Maximize Screen at Start Up checkbox if you want Callista to start in full screen mode (i.e. if you want Callista to completely fill your screen when it is operational).
23. Check the Override Default Accommodation Rates checkbox if you want the ability to change default accommodation rates at check in and use custom rates instead.
24. Check the Enable BDI checkbox of you use the system’s bi-directional features to lock/unlock extensions, make wake-up calls, enable message waiting, Do Not Disturb and Room Status indicators. PLEASE NOTE : your PABX must be able to support bi-directional functions (not all PABXs do this) to use these features in Callista Hospitality.
