Selecting default settings for output forms

At this option you can select the default options you want for all of your output forms including invoices, confirmation letters and Reservation Confirmation Letters.

1.  Click Supervisor.

2.  Click Default Settings.

3.  Click the Output Forms tab.

4.  Click Edit.

5.  Confirmation Letters

•      Check the Include Room Number (Name) in Confirmation Letter if you want this information included in all Confirmation Letters you send.

•      Check the Use Windows Email Program to Send Confirmation Letter checkbox if you want to e-mail confirmation letters using the default e-mail application such as Outlook (full version) resident on your PC. If you select this option you will be able to keep a history of all confirmation letters you e-mail.  If you want to e-mail confirmation letters directly from Callista leave this checkbox unchecked. 

PLEASE NOTE : This option does not work with Outlook Express.

•      Callista is shipped with three Confirmation Letter template options.  One is produced automatically by the system and has limited customization options and the other is a pre-defined Word document which you can customize to match your own requirements.

In addition you can select either one of these documents as the default Confirmation Letter template which will be used automatically by the system when you make a reservation or you can simply select which template you want to use for each reservation.

If you want to decide which document template you will use for your Confirmation Letter every time you make a reservation, click the Select at Reservation radio button.  To have the system auto-select for you, click the Always Use radio button and then select the document template you want to use for every Confirmation Letter you produce.

6.  Reservation Confirmation Letters

•      Check the Print Guest Reservation checkbox if you want to be prompted to print a Guest Registration Form at check in.

•      Callista is shipped with two Guest Registration Form options.  One is produced automatically by the system and cannot be customized and the other is a pre-defined Word document which you can customize to match your own requirements.

In addition you can select either one of these documents as the default Guest Registration Form template which will be used automatically by the system when you check in a guest or you can simply select which template you want to use for each check in.

If you want to decide which document template you will use for your Guest Registration Form every time you check a guest in, click the Select at Checkin radio button.  To have the system auto-select for you, click the Always Use radio button and then select the document template you want to use for every Guest Registration Form  you produce.

7.  Invoices

•      Check the Print Invoice with A5 Paper checkbox if you want to print check out statements on A5 paper.  If you leave the checkbox unchecked, invoices will print by default on A4 paper.

•      Check the Print Invoice at Check Out checkbox to set this option as the default at check Out.  If you don’t want to print invoices at check out, leave this checkbox unchecked.
