Customising MS Word templates for Reservation Confirmation Letters

One pre-defined Microsoft Word template is available in your system for Reservation Confirmation Letters and you must edit this template to match your own requirements or you can simply create your own and add it to the library of documents before you use them for reservation confirmations.

The template provided is simply a guide and you can edit this any way you choose.

You will need to know how to create and/or edit Microsoft Word documents and you must also be familiar with the Mail Merge feature in Microsoft Word.  Instructions on how to use these features in Microsoft Word are not included in this user guide.

All templates are stored in the \callista\manual folder and if you create your own, you must also store your templates there.  In addition, when you name your own templates, their titles must contain the words register or registration so that Callista can recognize them when you need to produce gUest registrati0on forms.

1.  Using Windows Explorer, locate your Callista folder.

2.  Open the Manual folder.

3.  Select the Guest Registration Form template you want to edit.  This is a .doc document.

4.  Edit the document using Microsoft Word and its Mail Merge feature (you can locate this in MS Word by clicking Tools>Letters and Mailings>Mail Merge) to match your own operating requirements.  You can enter any information and graphics you choose on this document. 

5.  Information contained in these documents and indicated by << >> will be automatically inserted by Callista.  A list of these fields is available at the More Items option in MS Word Mail Merge on Step 4 of the Mail Merge Wizard and you can add any of these fields to your document to customize it and to automatically generate information in this document directly from Callista such as guest name, room number, room type, date to and date from etc.
